How we share information
We do not sell or rent personal information. We share it only in these cases:
Service providers.
Vendors that help us deliver our services, each limited to what they need. These include Intermedia.net, Inc., which hosts and delivers our VoIP and unified communications services; Microsoft, for Microsoft 365; and our client portal, remote support, backup, security, payment, and accounting providers.
Legal requirements.
When required by law, subpoena, court order, or a government request, or to protect the rights, property, or safety of our clients, our company, or others.
911 calls.
When someone dials 911 on our phone service, the caller's number and registered location are sent to emergency services.
Business transfers.
If we merge with, are acquired by, or sell assets to another company, information may transfer to that company under the same protections.
With your consent.
In any other case, only with your permission.
Client data we access
Our clients own their data; we access it only to do the work they hire us for. When we manage or repair your systems, we may be able to see files, email, and other data stored on them. We access that data only as needed to provide the services, at your direction, or as required by law, and we keep it confidential under our service agreement with you.
Remote support and client portal.
We start remote support sessions only with your permission or under your managed services agreement. Session logs and portal activity are kept for security and support records.
Phone records (CPNI).
Federal law protects Customer Proprietary Network Information, such as the numbers you call, when, and for how long. We and Intermedia use CPNI only to provide and bill for your phone service, protect against fraud, and as the law permits. We discuss CPNI only with authorized contacts on your account after verifying their identity.
Health information.
If you are a healthcare client, we handle protected health information under a Business Associate Agreement.
Security
We protect information with safeguards suited to an IT security provider. These include multi-factor authentication, encryption, access limited to staff who need it, and monitoring of our own systems. No system is completely secure. If a security breach affects your personal information, we will notify you as required by the North Carolina Identity Theft Protection Act and other applicable law.
How long we keep information
We keep information as long as needed to provide services, meet legal, tax, and accounting requirements, and resolve disputes. After a service ends, client data on hosted platforms is deleted as described in the service agreement. Billing and contract records are generally kept for seven (7) years.
