A local Asheville nonprofit education foundation operates a shared learning space used for member education sessions, meetings, and community rentals. The room sees a steady mix of presenters, instructors, and outside groups β all with different needs and varying levels of tech comfort.
The existing setup had worked well enough for years, but by the time they reached out, it had become a real friction point. Every event started with the same dance: digging out a laptop cable, fiddling with a projector that didn't always cooperate, and hoping the screen didn't wash out under the room's lighting. Hybrid participation wasn't practical at all β the room had no real video conferencing capability.
They needed a modern solution that was easy to use, flexible enough for different event configurations, secure for staff and presenters to operate, and didn't require tearing apart the room to install.
Before: A Setup That Was Holding the Room Back
Outdated projector: Presenters connected a laptop and projected onto a screen. The experience was inconsistent β image quality varied, cables got lost, and setup took longer than it should have.
No video conferencing support: The room had no microphone, no camera, and no speaker system capable of running a professional hybrid meeting. Remote participants were an afterthought at best.
Presenter frustration: Every event required someone to troubleshoot the setup. For a rental space, that's a real problem β renters expect it to just work.
Fixed configuration: The screen and projector dictated how the room had to be arranged, limiting flexibility for different event styles.
Our Approach
The foundation didn't want a permanent installation. The room needed to stay flexible β different events use the space differently, and bolting things to walls would limit that. A mobile AV cart was the right answer.
We designed and installed a purpose-built mobile cart centered around a 75-inch commercial display paired with a Logitech Rally video conferencing system. The Rally includes a high-definition pan-tilt-zoom camera, a modular mic system, and a dedicated speaker β everything needed for professional hybrid meetings in one integrated package.
Presenters can connect wirelessly or via HDMI depending on their preference and device. The cart rolls where it needs to go, plugs in, and is ready. No cables strung across the room, no projector to aim, no screen to pull down β just a cleaner, more controlled setup for staff and guests.
